September 20, 2005
Place: McMenamin’s on NW 23rd.
Present:
KatyBeth Anthony, Tracey Buckler, Sandra Kindblade, Kim Braun, Teresa Finnegan, Patrick Fischer, Tim Kindblade, Mike Rakozy, Howard Hammel, Rita Wallberger, Jennifer Hummel
Chair:
KB checked with individual chairs if they wanted to continue for another year. She will step down as general Chair, PF will take over, may alternate on yearly basis. She will focus on IRS/ tax-exempt status. Will take a trip to Salem and meet with Secretary of State. Has confidence in us.
May establish hiking team, cycling team.
Appreciation/recruiting party set for Oct. Bridgeport or Baja Fresh?
SK may replace Kim as camp coordinator
Team captains vacancy. Any nominations? Steve P., Mark F.
Requirement for captain: Willing to listen to others, work with others, evaluate other’s strengths and weaknesses. PF added: careful communications/ attention
Approve DP Crew listing? Rita 2nd. Passed.
Supply:
SK Some items still missing from H2C/P2C race. Mike R. has last supply box. No expenses, most supplies donated, Costco a big donor. Suggestion for next year: Refillable water bottles, mist sprayers.
Camp Coordinator – Kim:
$737 for food (crab, steak, etc.) Postcard survey helped a lot with food planning. Short on potato salad. $22. in hole, Kim will cover.
Sue T. will concentrate on setting up volunteers- too much confusion.
Fundraising – Teresa:
Total raised: $2800.80. Will step down Oct. 31st.
Next fundraiser, Oct. 8th.
Cookbook- only six pages. Goal: 100.
Baja Fresh postponed to Nov. 12th. Approved.
Dingo @ Chestnut Lane. $5 fee. Combine with bazaar for Dec? Once a year?
Pancake Feed- SK step down.
Recruiting Party to vote on captains, chairs for various fundraising activities
Pool- $5 a square instead of $2?
Webmaster- PF:
Will update website, add pictures, work with PR/ design team.
T-shirt: one printing error. Need 6 more shirts for $100 donors, cost is $6-$8 per shirt. Approved.
All signatures in except from runners in Van #1, will figure donor/ volunteer shirt budget.
(Greg’s vehicle broke down, won’t be able to attend meeting.)
Transportation- TK:
Budget was $2820, Actual was $2610, but missing some gas receipts. We didn’t have to pay a penalty for the van lockout or towing.
Walker Captain, HH:
Overall, good. Frustration with dropouts, finding last-minute substitutions. Suggest fee increase/ nonrefundable. Will work with Rita W. to develop contract. Include waivers for injury, If person quits, must find own replacement. Start with one walker team, if enough interest, then form 2nd team.
Safety- Rita W.:
TK suggest small team flag/ banner for exchange point Add to registration form/waiver: Person is responsible for finding a way home after event if not riding home with the team next day.
