DPRunners' & DPWalkers' Meeting Minutes
June 15, 2004

Present: Jennifer Hummel, Howard Hammel, Teresa Finnigan, Sandra Kindblade, Tim Kindblade, Darby Smith, Greg Coughlan, Patrick Fischer, Mike Wilton, Mike Rakozy, Kim Braun, Susan Cunningham, Kathy Butts-Bernunzio, and KatyBeth Anthony.

Absent: Rita Wallberg and Marianne Decher.

Meeting started at 7:30pmish

KatyBeth decided to start the agenda from the bottom up instead from the top down.

I. "Venting time"
(This is the only time to vent. You can express anything negative at this meeting but cannot do this outside of this meeting or behind anyone's back.)

Concern:
Jennifer Hummel didn't feel very supportive for the Baja Fresh Event on June 12th. Only a handful of our committee attended and wished that more of us would be there to help support the event and the chair. Not many people went to the event…
Solution:
Make more of an effort to attend fundraising events thrown. And try to encourage others to attend. Make sure the event doesn't conflict with other events (ie Chestnut Banquet)

Concern:
KatyBeth Anthony is anxious to have our own PO Box so all letters can go to one place instead of multiple places. Still no letter from Post Office to tell us a box is available.
Solution:
Susan Cunningham offer to go to a Post Office near her work and find out if any available.

Concern:
KatyBeth would like it if we reminded each other more often instead of her reminding all of you. She does like and need reminders just like everybody else. Giving reminders does not mean they are picking on you.
Solution:
More reminders and outreach to each other.

II. Our Reports

Captain's Report:
Susan Cunningham
-22 walkers total. (Mikey Wilton is the last walker to sign form)
-Late fees for Mikey and two others who will join ($15 each).
-Mikey offered to pay for the $15 late fee since he was late.
-Need 2 more walkers
-All fees paid to date.

Greg Coughlan
-12 runners with 3 backups
-KB brought up issue about Phillip Klover. KB offer to transfer to walker's team to mentor Phillip.
Discussion:
-KB to meet with Phillip's dad soon and tell him about our concerns (sleep, takes off on his own?, medicines, bathroom, concept of H2C, and his "excitement" that may drain the energy of the teams). And will he be comfortable with an escort?
-Maybe have Phillip join next year's team instead of this year due to lack of practice with coach. But is welcome to join for volunteer.

Fundraiser's Report:
Teresa Finnigan
-Can Collection: Mikey Wilton's: Recently got $79.22 can deposit from Mikey which brings the total profit up to date to $202.31.
-Baja Fresh: Jennifer's event, approx $30. Still waiting for the time to finish up before can collect earnings. Still going until June 24th.
-Pancake feed: Sandra Kindblade's event, Will be held on July 11th. Sandra needs to ask for food donations.
-Dog Party Proposal: KatyBeth's event, either August 7th or August 1st.
-2nd Dingo Event: Teresa's event, July 24th at Chestnut Lane.
-Total funds raised so far: $595.34

Supply Report:
Sandra Kindblade
-Distributed supply list. Ask for donations to reduce costs. Sandra will go to each person individually to see if any can donate or have any suggestions.
-Mike Rakozy found a few coupons to help lessen the costs of supplies.
-Expense total up to date: $400.00

Place and Event finder Report:
Kim Braun (Susan Cunningham as assist)
-Distributed 2 handouts (supply list and "postcard" to send out to our people)
-Supply list total expenses: $32.00
-Postcard list 2 dif choices of dinner meals (one with hamburger and other with crab)
-Will email food survey without prices.

Decided to remove pricing to find out exactly how many people will attend before deciding how much each will need to pay to cover all costs of the party.
-Volunteer reward: Free camp and t-shirts. They pay for food at camp.
-KatyBeth will meet with Kim and Susan to iron out details.

Transportation Report:
Tim Kindblade
-Confirmed reservations
-All vans now have roof racks.
-No sponsorship (They already gave us a GOOD deal on 6 vans)

Safety Engineer Report:
Rita Wallberg
-Currently doing 2 sets of identical projects at one time. Plan to rewire first set of two lightings then the next set the next week and so on.
-Total cost of Items purchased (for the first two of six vans): $8.26 (wire tap splice, roll of wire, and cigarette adaptor)
-Will hold on to the receipt until meet with KatyBeth or next meeting.
-Need to find out if Sandra will purchase more reflective vest so she can fix them in time.
-PVC poles are not purchased yet due to waiting for reflective materials.
-Asked if any would loan tarps. Tim, Mike R, and Darby.
-Darby will donate tempera paint for van decorations.

Design Committee:
Patrick Fischer, Greg Coughlan, and Mike Rakozy
Newsletter:
-Will add digital pictures of committee members
-Stretch training class info
-Will put newsletter on website
-Hard copies mailed to donors/sponsors
Thank you cards:
-Mike Rakozy will design them.
-All team pictures on it
-For end of race thank yous to all that supported for 2004 event.
T-Shirts/Uniforms:
-InSport will donate tees for all three teams
-Patrick Fischer will design them
Website:
-Still under construction (committee names with pictures and misc stuff)
-Password access to newsletter, schedule, and announcements.
-Use acrobat for easy PDF download.
-Patrick will send DEV website to Greg, Susan, Teresa, and KatyBeth for final approval.

Public Relations Report:
KatyBeth Anthony
-Go ahead for PR to publicize all fundraiser events.
-Will send "reminders" to George Schelerg and others "hot list"
-Will send out another recruitment letter to Schelerg for membership and volunteers.
-Any PR needs please contact KatyBeth.

Grant/Donation Report:
Darby Smith
-This last month, wrote 2 letters asking for donations for the Pancake Feed event (Costco for sausages and IHOP for pancake batter). Haven't heard from them.
-Sandra Kindblade will stop by both places to follow up.
-Marianne Decher is still "dialing for dollars" following up on letters sent to potential contributors. No luck yet.
-Sprint cut their budget so cannot help us but please contact them next year.
-Need to follow up with RUSS Toyota, Susan Cunningham's husband and let them know of our IRS status. Jennifer will resend email to Darby with contact info for RUSS.

Treasurer's Report:
Kathy Butts-Bernunzio
-Total Balance as of June 15, 2004: $1,1009.88.
-Ask KatyBeth to close the old account (balance is $7.70).

Chairperson's Report:

PO Box:
-No letter yet to allow us to open a box. Still on the waiting list.
-Susan is willing to go to Post Office near her work and see if they have the smallest available for 6 months. After 6 months we can determine if the size is correct and then go yearly payment.
IRS:
-Darby and I are still working on it (school interfered for now but once summer starts will go back to it).
-Darby and I will take a workshop at TACS relating to this.
Committee Positions:
-handed out to some of you. Please read it over and make corrections or additions to it if necessary. After all is completed…a handbook will be made and distributed to committee, members and volunteers.
