Teresa was acting secretary in Linda’s place. Meeting started at 1:20 pm at The Pied Cow on Belmont.

Organization Reports

Chairperson:  Tim announced DPR/DPW (DPO) Mark R. & Linda S. couldn’t make the meeting.  Tim will report for the absentees.  No last minute report from last meeting – we didn’t bring the latest minute report from Mark R that he emailed us last November 2008.  We had August 2008 minute report before the race but not October minute report.  Deaf Power Runner Team got accepted for Hood to Coast 2009.  Patrick Fischer expressed his interest in becoming a running captain for HTC 2009.  Rita Wallberg resigned as our Webmaster – she turned in her resignation letter to Tim.  Tim accepted her resignation letter. Rita expressed her interest in being a walking captain for PTC 2009.

Secretary:  Linda was absent. Tim said that Linda left a message on the answering machine of State of Secretary regarding the ID tax number.  No word from them since then.  Tim will follow up with Linda.

Treasurer:  Howard showed the last balance in account of November 2008 of
$ 1,177.11.  On October 14, 2008, He deposited 5 checks (Walker fee $74) for $ 370.00, 2 checks (Runner fees $95) for $ 190.00 and $ 4 for car rental refund. On October 13, Howard deposited 3 checks (Walker fees $ 74) for $ 222 and a donation check from Deaf Catholic Community for $ 500.00.  On January 2, 2009, he deposited one check (Runner fee $ 95) for $ 95.00.  One check #194 paid to Hood to Coast in the amount of $ 1,140.00 for Registration fee leaving a balance of $ 1,418.11.
Committee Reports:

Design Team: No report from Patrick

Fundraiser Grant & Donation Chair: 
We need to raise about $3,000 to cover for 4 rental vans ($1,600), gas ($300.00), Camping ($288), and Shirts ($720).
Teresa received a donation check in the amount of $ 500.00 from Deaf Catholic Community on Oct. 10/2008.  Another donation check was received from Individual Chris Roeback in the amount of $ 25.00 last August 2008.

Plan for Fundraiser 2009 will be
1) Deaf Wine tasting & Wine appreciation workshop presented by Rusty Wales, Deaf Vintner – March 2009. Location & Cost will be announced.  Felix Macias can cook seafood for us with Rusty Wales on the same day.  More details will be forthcoming. Felix M did his Deaf Chef cook fund raise for us last year.

2) Patrick Fischer can do his Mime workshop sometimes after Wine Tasting event.

Ideas were discussed about Spaghetti/Pancake Feed & 3K run Katybeth hopes to set up an event.

Teresa has emailed donation letters to AAA Metal Company, Russ Toyota, Access Service Northwest, Rusty Wales and Janice Justice.  No word from them except for Rusty Wales as he is donating his time for doing his wine tasting and wine appreciation workshop. All monies donate toward the DPO fund.  Teresa will email donation letters to them again one more time soon.  Janice Justice will do her massaging service to all runners and walkers again at the camping after race.

Public Relations: Mark R. was absent. No report but Tim said Mark needed all walkers and runners current email addresses.  Mark’s assistant is Darcie LeMieux.

Post Race Party (Camp) Chair:  Teresa has reserved 6 sites for two nights (Friday August 28 and Saturday, August 29) one site is good for up to 6 people so 6 sites can hold up to 36 campers.  Same price as last year - $ 24/per site up to 2 people and add $ 2 per person.  Estimate for 2 nights (6 sites) is $ 288.00.

Running Captain: 3 runners signed up and they already paid for.  Patrick F accepted to become a captain.  He has about 14 runners who are interested in joining the team.

Safety Chair:  Rita needed 2 more “Christmas” lights for more vans.

Supply Chair: No new report from Sandra but she said all the information still the same from last meeting.

Transportation Chair: Tim said he reserved 4 rental vans on the same price as last year price. $ 400  per van.  Gas estimated around $ 300.00.

Volunteer Coordinator: Howard said we have 6 volunteers for two teams plus and we need more volunteers for camp set up.

Walking Captain:  We have 8 walkers signed up and paid for. Rita accepted to be a walking captain.  We are in need for 4 more walkers to fill up in a team.

Webmaster:  Since Rita resigned as webmaster, Katybeth (KB) accepted to take over the responsible of doing webmaster.  Rita paid web hosting due for $ 25.00.  DPO will give her a check to cover her expense.  Domain is paid for and is good till May 2009.

Old Business: We needed walking and running captains for both teams.

New Business:

  1. Teresa proposed Patrick Fischer for being a running captain.  Sandra Kindblade seconded.  Voted- all passed.
  2. Teresa proposed Rita Wallberg for being a walking captain.  Howard Hammel seconded. Voted – all passed.
  3. Patrick F proposed a new theme on own van for good and fun spirit. Howard H seconded.  Voted – all passed.
  4. Sandra K. proposed a new lighter flag/banner.  Our old banners were too heavy & not safe.  Sandra can make new flag banner. Teresa seconded.  Vote was passed.
  5. Patrick F proposed KB for a new webmaster. Teresa seconded. Vote was passed.
  6. Sandra K proposed KB to be assisting to Chairperson. KB accepted it.  Rita W seconded.  Vote was passed.
  7. Teresa proposed for DPO to send Rita W. a check in the amount of $ 888 for walking registration fee.  KB seconded.  Vote – all passed.

Patrick F adjourned the meeting at 3:15 pm
